New Custom People Reports

For the last week or two, we’ve been working away at our next Planning Center feature release that we are incredibly excited about. Without giving away too much, we’re adding some new innovative tools to help you better organize your content and simplify discovering new content. But I’m not going to get into that right now, I just wanted to whet your appetite a little. :)

Somehow in the middle of working on that, Jeff got inspired to release Custom People Reports today. If you are used to working with Custom Plan & Matrix Reports, you can now use the same tools to create reports using any people you’ve added. We’ve created 3 reports to start you off.

Directory gives you a printable list of of your people with their picture, email & phone numbers. You can easily show their addresses, birthday, anniversary or notes by creating your own report based on Directory, and setting those print options to ‘true’ at the top of the report.

Block-Out-Dates gives you a list of people who have entered block-out-dates, and shows you the information related to those dates.

And finally, People Grouped By Property shows you all the people assigned to the custom properties you are currently filtering to. You can easily change this to show all your people and ignore your current filter settings.

You’ll find these new reports at the top of the main people page when you click the new “print” button. We hope you find this new capability useful and come up with some great reports of your own!

    Our church has 3 services to staff and currently (I think) Planning Center doesn’t allow us to add a person, link them to a team, AND assign them to only one of the three services. As a result we have to into each plan page and assign each individual to a particular service – 1st, 2nd, 3rd. Are there any plans in the works to enable us to assign a particular plan/service to each individual? Or does that already exist and I just haven’t figured it out yet?

  5. @Paula Thanks for the comment! We actually have a lot of work gone into that aspect of scheduling. We are just working on making sure it is as flexible & simple as we can possibly make it. Scheduling to different services gets very complicated especially when you look at all the edge cases (scheduling different people for each service or how about Saturday Night, Sunday Morning & Sunday Night).

  7. We would like to create a folder or song list for new songs for our volunteers, without having dates. Any chance we can customize so volunteers can look at a new songs page, be able to download mp3 files and sheet music without having to create a service?

    Thanks for the reports! I especially like the blocked out dates report! This will make scheduling so much easier! Before, I had to go through and look at each person individually, jot down their dates blocked out, and then put the schedule together. This is sweet!

    @James Create a category on the songs page for new songs, then change your people from “scheduled viewer” to “viewer”, they will then see the songs page, and be able to filter to just the songs in the “new” category.

  11. Nice to have some ways to view all the info! I’d like to have a report of request statuses (unconfirmed, confirmed, declined) so I can know who to followup with. I usually schedule a month at a time and it’s usually done at the beginning of the previous month. I’m sure it’s easy for folks to see a request that is maybe 8 weeks away and not reply right away, but then forget all about it.

    You’ve got Custom Plan reports, Custom People reports – now all we need are some good Custom Song Reports, and we’re all set! I’m hoping that that’s in the works as well? I would love to see a Print button on the Songs page, and be able to print song lists from my library with the ability to sort it by Title, Last Date Used, Theme, etc…

    How about a report of people assigned to a given service? We would use a photo and name directory of everyone on stage if we had one. I think we just use a name list now.

    I would still love to see another option instead of blocking out dates. One issue I have is I don’t know the difference whether someone is just free for all our services for the month or they just didn’t bother blocking out the dates to begin with. Are you trying to develop something where people can indicate positively that they ARE available instead of blocking out dates. I have had way too many times where I scheduled someone who didn’t block their dates out but they looked like they were available. Help!

    Run a CCLI report to get song listings – you can export it to Excel and keep what ever you want

    I love the block out dates report. It will save me a lot of time. What would help even more would be selection by date parameters since I’m not usually looking at dates 6 months out.

    Since we schedule our teams a month at a time, it would really help me if I could print a report of all people serving during a selected month – or by date parameters. A report in columns or rows showing every person serving by plan for a specified period would be extremely helpful.

    We are new to PCO, and our team really likes it. Thank you for your ongoing creativeness.

    Birthday Reports

    How about birthday reports arranged by months? Or even better if we could export the list of people for a certain month and the mailing info so we could print mailing addresses for birthday cards.
