Community Page, New Look, Comments, and Songs Page Additions!

Hello PCO users! Here we are once again with another update to enhance your use of Planning Center. As you may have noticed, we are updating whenever we have new features ready, instead of on a quarterly basis- so that is why you may notice that the updates seem to be more frequent lately. Here are the four newest things that you need to know about:

1. Community Page

Editors and administrators will now see a Community (songs) tab. The community page itself has several features: Hot Songs for the month, links to buy versions of a song onpicture-2 AmazonMp3 and iTunes, a place for you to link to charts, a discussion area, and recommended songs which will show you what other people have used with this song! We really believe that this is going to broaden the horizons for PCO users and create more of a community between you and other churches. We also realize that this page is not fully complete, but we think it is a great start!

2. New Look for PCO (BETA)

We are now allowing you to preview the new look for PCO. To do this, simply click on the bar on your page that allows you to see the npicture-3ew design. For now, you can go back to the older design. This comes with no structural changes, but just a new interface. Please let us know what you think! We are really excited to get this finished and pushed out as the new theme for PCO!

3. Comments on Plan Items

You are now able to comment on plan items in your account. To do this, simply click on the little bubble next to an item, and leave yopicture-4ur comment. This is designed for you and your worship team or worship leaders to be able to communicate about different things that are happening within your plan.

4. Songs Page Additions

A few things are new about the songs page. The first is that when you click on ‘add a song’, you will see a place for either the CCLI number picture-6or the title of the song. As you type, Planning Center searches the community for that title or CCLI number and imports the rest of the data for you. The next new feature is on the individual song pages. Here you will see related songs, community song information (with links!), and a section for notes.

    Yes! Just posted a comment on an item, both as a test and as an actual question about Wednesday’s service. This feature alone rocks! New theme looks good, too.

    Only problem I had was when I first logged in, I had no CSS at all. A refresh fixed that. Might have just been my laptop acting up, might have been cached stylesheet needing a refresh.

    Um. . . too much color contrast was the first thing to jump off the screen at me. Second impression was that the light blue vertical bar between the side panel and the main area is too thick, at least in Opera 9.64 it is, it looks several pixels wide when it might be better if it were only 1 or 2 pixels wide.

    It is not immediately clear that the word ‘Community’ is intended for the second appearance of “songs” in the bar below it. My first thought was, “why are there now two “song” items in the bar? So perhaps make “community” go beside the second “songs” title, or thicken the bar so that the word ‘community’ doesn’t appear to be suddenly part of my church name with an unnatural gap between the words.

    The sidebar looks very much separated right now, so much so that I thought at first it might be in a frame until I scrolled and found it scrolling with the rest of the page.

    Now for some positive notes:

    I like the ability to add notes to song entries in the regular song list.
    I like how the plan title is now distinctly separated from the other text on the “My Schedule” page.

    I think the comment bubble for plan items is useful, but I’m still waiting for a permanent space to add oft-repeated reminders for the choir etc. Things that we used to have posted just once but constantly readable by choir members who hit the site I built from scratch.

    Interesting how the custom properties are now in the same place in a song’s details as they are in the people profiles.

    I think the community song info and the related song info in the sidebar will prove helpful to many as a source of expansion when considering adding songs to a reportoire.

    How is the community songs page populated? By gathering info from what users plug into their systems, by suggestion, other methods?

    I guess I like everything except the layout itself. . . that needs work yet.

  4. @Marilynn Hmmm…I will have to check it in Opera, we don’t use that browser so it might not be looking right there.

    This new layout is “Beta” and we will be working over the next couple of weeks to refine it. We really think it already looks much better than the old layout but that we also need to make sure it is working for everyone.

    Please remember you can always turn off the new layout. There is a button in the upper right hand corner of the screen.

  5. @ministrycentered The community statistics are generated by what the PCO users have been using (IE which songs with each other, which songs for a particular week/month, ect.). Everything else has been put in manually.

    I concur that having two SONGS tabs is confusing: I think it would more clear if the 4th tab simply said “Community” — it could then join the other tabs neatly and still communicate the page’s basic idea.

    Love the new look!
    Two thoughts…
    1. The font for arrangements on the song page is so big that its cuts off the text. (both safari and internet explorer)

    2. Once you’ve added a comment in a plan next to a song, is there a way to delete the comment without deleting the song off the plan?

    3. Simply love the community song page with links to both amazon and itunes and the feature to add it to your own songlist.

    I love the links to Praise Charts. For a while I thought you guys might just own the world if you were able to integrate with other parties like Praise Charts, Media Shout, Easy Worship etc.

    What if…
    -When I purchased a song on Praise charts it dumped it in PDF form to PCO?
    -When I finalized a service order I clicked a button and it aumotatically created the Easy Worship File (or other display software).

    That should be included in the next release – pretty ambitious – but AWESOME!

  14. The new design looks clean, but it actually uses more screen space because of the info bar at bottom. I lost 2 lines of my plan which means I have to scroll more.

    Also, I really like the new “related songs” feature in the songs section. Would there be a way to have those show up while you’re on the planning page? If we could put in the theme or themes of a particular service, then a list of “related songs” could pop up right while we are doing the planning. This sure would save a lot of going back and forth between the planning and songs sections!

    Keep up the good work, I have only been using the site for about a month now and I really, really love it!!!!

  16. @ken You actually shouldn’t need it. Just click “Add A Song” and type in the CCLI #. ;-) If it doesn’t show up for you please e-mail us at support@ministrycentered.com and we will get this resolved for you.

    @Steve 1.) How long are your arrangements? Could you e-mail support@ministrycentered.com so we can look into it? We tested on those browsers and all looked good to us.

    When I think of a community page, I think of someplace where my volunteers can blog and maybe have a message board. I know that my volunteers have asked for this quite a lot.

    Also, I agree that the two song tab is very confusing.

  19. @Matthew We are working towards those types of features too, the new Comments on plans is just the beginning of this feature, all of your people who can view the plan can comment.

    Also, only editors can see the new Community Songs tab, so viewers will not be confused. We are working on seeing if we can modify the new community section to work well.

  20. @Matthew Also, the biggest issue we are facing with creating a community for viewers is the interface. Making sure they see everything without being overwhelmed with information. Integrating a community and an application has turned out to be pretty hard but we are definitely working on it!! We just want it to be perfect.

    I must agree with many others on the topic of the community songs. I like the spot as it keeps the top level menus on the top, and potentially you want the tab list to grow… but it is kinda confusing. Just to share, my church has the word “community” in it, so at first glance I saw community twice!!! Thought something was going on with my church name. Something as simple as different colors might do it?

    I can’t believe how frequently this tool is updated with truly useful stuff. The community tab is fantastic. No need to change how you’re doing it, imo. People will get used to it, just like the new Facebook layout. :) It’s a great value-add, by the way. So useful to have a sort of “top list” of songs being used, especially being over here in Hong Kong.

    Love planning center and community song feature. Is there a way to add a group of songs to a plan rather then just one at a time? Many of our leaders have the songs they want to use in their head and would like to select and add all of the songs at once.

    The Community Song addition is brilliant. Bringing the technology to a community level. I love it. Just a thought for the future… An addition of “position” to a users profile and the ability for those users (with the same “position”) to contact each other or share information somehow. No rush though.

    You have demonstrated a true level of excellence. I subscribe to a lot of online tools. None have the frequent updates and top-notch service that PCO does. I count investing in PCO to be one of the greatest contributions i’ve made in developing worship arts at my church.

    You are doing a great job of adding functionality while keeping the interface streamlined (a high value of mine). Keep it up.

    I love the new community songs page and the connections to other related songs. It is going to make my song study time much easier and help me think outside of only the songs I know. It would also be great to add a “related scripture” section for each song as well. This would allow users to find that right scripture to read to help the congregation “enter in”. Just a thought, but I am totally happy with the new updates thanks.

  30. LOVE it! We have been PCO users for about 6 months, and are amazed with the impact it has had on our teams! Very helpful and smooth for all of us. Would also like a place to add notes to individual songs, rather than just on the plan. Keep up the great work!

    I love what you are doing! This has been a great tool for us for almost 2 years now. I love the continued updating of things….keep up the good work!

    One suggestion – wonder if there could be something added that would have an automatic alert when changes have been made or updated to a given order of service? i.e. – if I added a new instrument and need my tech guy to see that for Sunday’s set up – could the new change be highlighted in “RED”? Could there be a system in place where specific people would receive and email/text that would automatically alert them that a change has been made??? Likewise, if we decided to change the key of the song and we want the band to be aware of the change in the order of service – is there a way to also change the color of the text to alert people???

    Great job. I love the frequency of the updates. It shows you are on top of things. I like the new community section and being able to see what’s hot and have instant access to it.

    I’m not sure about the new look. What we’ve had seems more open and flowing, whereas the new look is more boxed in. It might just take a bit of getting used to. Just my thoughts.

    I do have one request. As of at least a week ago when you were in a plan and clicked on a song note to edit the song file itself, once you saved and closed, it would take you right back to the plan you were in. I used that a lot. Now it doesn’t take you back. It just drops you into the songs tab with that song selected. Is this on purpose, or just something that was missed? Please bring back the redirecting to the plan.

  35. @Terry We have discussed this internally here, what we are trying to figure out is how to do this without bombarding people with e-mails as we already send tons of e-mails everyday. Also the plans page is the most complicated page on PCO to render because it is already so customizable so we have to be able to add this feature without adding to the rendering time of that page.

    @David Thanks for your comments!!! About the going back to the plan page from a song page…that was a regression bug, sorry about that. It should be fixed now.

    To me the new layout seems a bit disjointed and angular, as if the sidebar and the script itself have nothing to do with one another. They seem much more separate now then in the old layout.

    Love the changes .. we have been using Planning Center for about a year and it just gets better and better.

    Re comments on items on plan page. Is it possible/planned to add a button to subscribe to an email for any comment made in the comments on the plan. If a worship leader is looking for feedback on 6 songs they added right now they would need to go in and subscribe to each one individually. It would be really nice to beable to check a box for the whole plan if desired.

    I think the old look is nice and clean. The new look with it’s square boxes and dark header seemed less attractive and harder to read- imho.

    I like the new look.

    One thing I wish we could do is store the lyrics to the songs. I’ve done so by uploading Word docs. But on another planning site I’d checked out (worshipplanning.com), you could hover over a song to see details about it, including lyrics. I’m constantly referring to lyrics when putting the set together.

    Something else that would be nice would be to select songs without the window going away. For example, when I “add a song,” the window pops up that I can use to filter through songs. When I apply filter, I want that window to stay open as I select songs from it for the service. Maybe a separate window pops open.

    @Matt: We upload pdf’s of all our song lyrics as often as possible, so that the pdf can be opened and read while listening to the mp3, printed, or just used as reference. Importing the lyrics from CCLI along with the details would be cool though.

    Just a few initial thoughts. I really appreciate the way you guys continue to update and seek to improve the site functionally and aesthetically. This is one of the reasons that I chose your site over many others to plan my worship services. I also have noticed that you actually read/listen to the comments/suggestions of your users. Thank you.

    So for the new layout, my favorite part is the individual song pages. I like the formatting and colors; it seems a little easier for my eyes to distinguish the details of what I’m looking at. For the other main pages, I don’t mind the separation of the side bar from the main work space, but I do feel like I’ve lost too much screen “real estate” from the work space, maybe that’s just an illusion though. I also preferred the green rounded boxes over the new dark blue, which seems like a little too much contrast for my taste.

    I like the idea that’s been started through the community page! Keep that one going.

    We have just deployed a new version of the new design. In this we addressed a couple of concerns:

    1.) Loss of screen real-estate. With this design you are actually picking up some pixels.
    2.) Boxiness. We have removed the dark background and used some lighter colors.

  58. I think it looks great. It clearly addresses a couple of the things I’ve disliked about planning center from the beginning…the redesigned song page is incredible. I hated having to log in to ccli just to import a usr! Thank you soooooooooo much. I also love the new layout for the individual song page. It brings a lot more cohesion to the “database” centered part of the site…the song database matches the format of the people database. It was always difficult to train volunteers because you had to teach them two different database interfaces.

    This update eliminates all the tediousness of editing and adding songs. The only big frustration I still have is scheduling people with a multi-service format. We have 4 services on Sunday morning alone…un-checking all those boxes gets old after a while…thank God for great volunteers who like doing it for me. I know you can create unique properties for the services and then assign those people…but I really wish there doesn’t have to be a “work-around.” Especially when so many churches have a multi-service format. It really doesn’t work for me either because of our volunteer rotation. Is there any updates coming out to make this more flexible?

    Other than that one thing….Planning Center Online is the best thing since sliced bread!

    I also think the older look is still really nice. I know you have to update and keep things new and fresh. Maybe it’ll grow on me.

    One small aesthetic comment. Allow the Ministry Title Header (lighter grey just below the tabs) stop on the left without crossing the darker grey divider that separates the main table from the Filters/Properties table. It’s a different width than the dark blue Filter header, and I think the overall look would be cleaner. (Try it and see what you think)

    I like the comment feature. I noticed that there is a way to receive email notifications. Is it possible to set it up, say as the administrator, to receive emails on all comments?

    This second iteration looks better, the thickness of the vertical bar between the sidebar and the main area is much nicer now!

    The header however, where the PCO logo and tabs are, could still use work. The yellow of the pco logo contrasted with the black background of the rest of the header with blue and bluish chrome tabs still looks disjointed somehow. Perhaps if the black was the same yellow as the header and the chrome changed to a lighter blue instead, it might look more uniform? Otherwise, you’re getting closer. I am still tempted to stay with the old layout for now.

  62. @Marilynn Thanks for the comments. I think what you are talking about now is more a preference then a design decision. We know we aren’t going to be able to please everyones palates with this new design even though we want to.

    I use both Firefox 3 and Google Chrome and have noticed the following issue.

    In the plan view as you hover over each item and the tools appear, the height of the line increases, disturbing the entire layout.

    It looks like it’s probably caused by the new “comments” icon (which appears to be slightly larger than the other tool icons).

    This occurs in both the new layout and the older layout (now that it includes the command icon).

    Can this be fixed??

  67. @josh It should. Chrome is based off of WebKit which is what Safari is based on too. And we test Safari. I haven’t heard of anything not working with Chrome. ;-)

    Just got in to get stuff printed for Sunday and I am unable to see the controls to edit my “items” in the order…Pencil and stuff is not there…only the NEW “Comment” bubble! HELP!

    @Joel Probably some javascript did not load correctly on your computer. Please hold down the control key on your keyboard and click refresh. If this does not work please e-mail support@ministrycentered.com and we would be glad to resolve this for you. In the e-mail please let us know what browser (IE6, UE7, FF, Safari) and operating system you are using (Windows XP, Vista, OS-X).

    I am new to planning center. So, maybe these things are already in place and I have missed them.

    1. I would like to be able to send a reminder alert on the day of the rehearsal or event. It goes from 1 day to no alert. I want a 0 day (day of).

    2. I would like to be able to click on a CCLI song and go to the Song Select membership for chord charts, etc.

    I like the community songs page!! This is going to be so helpful to me because I can find songs a lot easier.

    I also LOVE the new feature when you add a new song!!! This makes my job so much less time-consuming because before I had to go find the song on CCLI, save to my computer, and then import it. This takes off like 3 steps and saves me a lot of time!! Thanks for what you guys are doing!

    Question: in general, how is the CCLI lookup accomplished? It seems I’ve run across quite a few songs that are not found when looking up using the title.

    Are you actually querying the CCLI database or using some other method? I thought I saw a post someplace on here that said some data was being manually input?

    Absolutely love using Planning Center for our bands and different ministries! I love being able to transpose within PC as well.

    There is one addition that would be great to see as well. That would be editing file/song names. For instance, many times we’ll have a song uploaded to PC that has the key in the title, say, “Let God Arise (B).mp3″. So then we decide to have a female lead it one week and we go for the key of E. Transposing that MP3 from within PC now yields a file named “Let God Arist (B) – in E.mp3″, which is rather confusing. A simple edit/rename function would be great for these things rather than having to download the file, rename it, re-upload it and place it in the correct spot. Pretty please? (c;

    WOW! It looks great and functions well. Thanks so much for updating and enhancing constantly. I love the new bubble feature for comments and hope that my team members will take full advantage of this.

    Some unrelated things I would love to see:

    (1) Ability to function with purchased charts from praisecharts.com. I realize this would be a coordinated partnership, but I believe it would greatly benefit both companies. I would love to be able to provide my band and team their charts ahead of rehearsal by posting them here.

    (2) More templates (and usage without knowledge of HTML, etc.) for printing worship plans. Unfortunately, I do not program in HTML or anything else, so I am a bit limited. Perhaps just a way for the community of users to upload templates they have made that can be edited would help.

    Amazing work!! Thanks so much for providing such a quality product to the Church.

    Our church is very new to PCO and we are still learning how to do things. Here a couple issues I’m dealing with:

    1) Since we’re new we’re still adding many songs to the songs database. It was actually easier to add songs the other way rather than typing in the CCLI # or title, as there are SOOOO many songs that have similar titles. Using the CCLI # tool means you need to KNOW the CCLI # for that tool to be effective, which means going out to CCLI, looking up the song, writing down the CCLI #, then back to PCO, enter in the info. If I’m going to have to go to the CCLI site anyway, I would just as soon export the .usr and import into PCO.

    2) Can you add another category of site permissions? We want all our ministry to have access to view the plans, but not the people and song list. I’m actually surprised you allow this under “viewer” with the privacy laws we now must observe. And I would rather the viewers did not have access to all the pdfs attached under the songs. Yet, if we list them as a “scheduled viewer” they can only view the plans if they accept the invitation to participate. If they decline, they cannot see the plan at all. Which leads me to question #3…

    3) Is there a way for the person to have a default accept? Most of our orchestra and choir people are there every week, and it is TEDIOUS to invite 150 people every week. There may be a way to do this already, and I’ve not figured it out yet. Anyway, it makes more sense to me to have them email us when they are NOT participating them when they are, and yet still have access to view the service even though they are not participating!

    1-I’m sorry that you are feeling this is less convenient. We were definitely going for more convenient on this feature, so please know that we are always working to make your jobs easier!

    2-Right now there isn’t a way to add another kind of permission. Sorry about that! We’ll take your suggestion into consideration though!

    3- You can add choir as a group all at once, and you can set it up so that they are all set for confirmed originally and then they just have to decline if they can’t make it! If you need more help with this, please email us at support@ministrycentered.com and I’ll help you out further.

    Since were on suggestions….

    Is there a way to reverse the “e-mail these people” selection from the “people” page. Right now the entire list populates. Most often I find myself just wanting to email a few people. So to select the people you want is much easier than deleting the people you don’t want. You could always add a “select all” option, but right now it seems kinda backwords.

    OR, better yet, just add a new tab next to the “people” tab on the top level menu (a fourth tab…this means you’re growing!!) that says “email” and you can add all these neat little email comments into one tab!

    @Chris, do you have your people divided up into groups using the custom properies feature? If so, when you go to the people tab, click on the particular group these people are in, in the left side bar. That will shorten the people list to just those of that group, then when you say “email these people” only that list’s emails will go into the email, and if you still need to remove names, hopefully the list is drastically reduced.

    Same problem as mentioned by others: the font in the arrangements field is all messed up and the letters overlap each other. Using Internet Explorer. New functionalities are awesome, love amazon and praise charts linkup, as well as community song features. Just trying to get used to the new look, as my eyes are so accustomed to the other one :) Keep up the great work, this is really a substantive set of feature upgrades!

  85. Thanks for the changes to the layout, the extra screen real estate is perfect!!! My only other suggestion is to separate the 2 sections of the site (the Planning center plans, songs, people and the Community songs). Especially if you are planning to add more sections to the community area, perhaps you could change the background color behind the tabs to make more of a separation between the two areas. At first look it is a bit confusing (as others have also said).

    Also, if you could look into allowing people to respond through text messaging instead of just e-mail. My younger band members just don’t check their e-mail often enough (if at all sometimes). The next generation is all about text messaging. Soon this will be the replacement for e-mail. It would be great if you could build this in as a feature.

    One suggestion . . . I would love to see the time of each item in a plan when viewing from the iPhone platform. I use my phone on Sundays during service to help keep everything on track, but not having the times means logging in to the main site. This makes for more information than necessary to navigate through. Just adding the times would make the iPhone feature perfect!
